Overview

Under supervision, perform various administrative and clerical tasks to support the efficient operation of the Training Department.

Responsibilities

  • Liaises with other departments
  • Maintains training files and records
  • Photocopies, scans, and faxes documents
  • Pulls training materials and sets up training space
  • Updates training records (LMS, spreadsheet):
    •  Inputs training attendance and/or certifications into ADP Portal.
    • Updates and maintains training databases
    • Prepares training reports as requested
  • Sorts and distributes incoming mail and prepares outgoing mail
  • Prepares training manuals, handouts, and other related materials
  • Maintains organizational processes that allow optimum outcomes
  • Maintains training calendar in Outlook and on the agency intranet
  • Prepares Out of Compliance report for Quality lmprovement department
  • Monitors inventory of office supplies and reports when supplies are needed
  • Provides reception coverage (during lunch periods and other times as needed) on a rotational basis
  • Notifies managers of required trainings for their staff, track responses, and send reminders to managers. 

Qualifications

  • Minimum of High School diploma
  • Organization and proof-reading skills
  • Proficient in use of Microsoft Office Suite
  • Knowledge of office equipment and procedures
  • High energy level, strong work ethic, flexibility, and sense of humor
  • Proven ability to manage multiple tasks, adhere to deadlines, and work well both independently and as part of a team
